Timing of the function is important. Over runs of time will be deducted from the refundable deposit. Bars must close and bands/discos finish 30 minutes before the end of your function, i.e. your pre-booked time. Bars must close by 11pm at the latest. Functions should finish and guests be clear of the premises by 12 midnight. The facilities, when hired, are your responsibility and must be left in the same condition as found. Cleaning materials will be made available. All rubbish must be bagged up and removed from the College grounds. If the facilities are not left as found, a charge will be deducted from the breakages/cleaning deposit. Arrangements can be made for professional cleaning at a charge to be set by the Enterprise Manager. If Dulwich College Enterprises Ltd are catering for a function, the customer is not responsible for cleaning. Security and Fire procedures are your responsibility and a briefing will take place at an agreed time before your function. One steward for every 100 people is required and they must be identifiable by some sort of clear mark, i.e. bow ties, badges, arm bands, etc. This responsibility is not yours if Dulwich College Enterprises Ltd are catering. Where a booking involves the use of language laboratories, theatre, sound or audio-visual equipment the hirer is to employ a qualified member of the College staff to assist at rates agreed before the letting commences. When a booking involves the use of the College kitchens, the hirer must employ a College supervisor at a rate set before the letting commences. This does not apply when Dulwich College Enterprises Ltd are catering. Smoking is not permitted under any circumstances in the Great Hall, Lower Hall, Christison Hall, Old Library or the Edward Alleyn Theatre. The use of candles is not permitted in the Great Hall, Lower Hall, Old Library or Edward Alleyn Theatre . No bolts, screws, nails, tacks, etc. shall be fixed or driven into any part of the premises, fittings, fixtures or furniture. No wax, powder or tape shall be placed upon the floors without permission from the Enterprise Manager. The use of gas filled balloons, streamers and confetti is prohibited unless written consent is given. The Enterprise Manager or nominated deputy may refuse to allow to be brought into the College any article or appliance which she/he considers dangerous or offensive. Written permission for special effects must be obtained in advance. Under no circumstances may smoke or bubble machines be used anywhere in the College and disco operators should be left in no doubt of this. Such machines will set off the sensitive alarms which can ring for several hours. Manning of cloakrooms is the responsibility of the hirer and the College will not accept liability for loss or damage to any articles deposited in cloakrooms. Persons must not trespass in parts of the College not let to the hirer. Motor cars or other vehicles are to observe the 10 mph speed limit in the College grounds and park only in the recognised parking places. The area between the science block and the Christison Hall is not a car parking area. Vehicles may not be taken to the Pavilion unless written permission is given by the Enterprise Manager, and in any case no more than two under any circumstances. Driving on grassed areas is strictly forbidden. It is important that noise levels are never high enough to disturb College residents or neighbours. If PA systems are used outside or in the marquee sound reproduction must be kept to a level agreed between the hirer and the Enterprise Department. Requests to turn sound down either inside or out must be responded to immediately. Under no circumstances will the College make good or accept responsibility or liability in respect of any loss, theft or damage of or to any goods or property of the hirer or of any other person left, deposited or brought into the premises or any part thereof, or deposited with any member of College staff, and the hirer must indemnify and hold the College harmless in respect thereof. Any advertising in the local area for a function must comply with the relevant legislation. It is the responsibility of the hirer and not Dulwich College to make sure that the law is not broken. Dogs are not allowed anywhere on the College site. All hirers must make sure that all of their guests are aware of this. The College reserves the right to cancel any booking at any time. July 2003 |
